Privacy Policy

The short version: we collect the least we can, we tell you why, we never buy or sell lists, and you can ask us to show you what we hold or delete it at any time — and we’ll do it. The longer version is below, in plain English.
Who we are
Trueflow in Action (“Trueflow”, “we”, “us”) runs this website and its free tools, the Flow Profile quiz, the email newsletter and the courses. If you have any question about your data, email privacy@trueflowinaction.com or use our contact form.
What we collect, and why
- Your email address — when you subscribe, take the quiz and ask us to save your result, download a tool, join the challenge, buy a course, or get in touch. We use it to send you what you asked for and, only if you tick the box, one useful thing a week.
- Your quiz answers — the responses you give in the Flow Profile, so we can generate your result and, if you opt in, tailor the follow-up emails to your pattern. We store these minimally and they’re deletable (see below).
- Your name and message — only if you send them through the contact or coaching forms, so we can reply.
- Privacy-friendly analytics — we use a cookieless, aggregate analytics setup that does not track you across sites, does not build a profile of you, and does not store personal data. It tells us things like “the tools page was popular this week”, not who you are.
We do not collect payment card details ourselves — course checkout is handled by a specialist payment provider, and we only ever see confirmation that a purchase succeeded.
Consent, done properly
We use double opt-in: after you sign up, we email you to confirm it’s really you before you receive anything else. Consent boxes are always unticked by default — you choose to opt in, we never assume it. We never buy, rent or use purchased email lists, ever. And every marketing email has a one-click unsubscribe; when you unsubscribe, you’re gone cleanly.
Our lawful bases
Under UK GDPR we rely on your consent for marketing emails and for storing your quiz answers against your email; on legitimate interests for replying to your enquiries and keeping the site secure; and on contract where we’re delivering a course you’ve bought.
How long we keep it
- Newsletter & marketing data: until you unsubscribe or ask us to delete it — then we remove it promptly.
- Quiz answers: kept minimally while you’re subscribed so we can tailor your emails; deleted when you unsubscribe or on request.
- Contact messages: kept only as long as we need them to handle your enquiry and any reasonable follow-up.
- Purchase records: retained as long as the law requires (for example, tax and accounting obligations), then deleted.
Who we share it with
Only the service providers we need to run Trueflow — for example, our email platform and our payment provider — and only so they can do that job for us under a data-processing agreement. We never sell your data. We never share it for anyone else’s advertising.
Your rights — and how to use them
You have the right to access the data we hold about you, to a copy of it in a portable format (export), to correct anything that’s wrong, to erase it (“the right to be forgotten”), to restrict or object to how we use it, and to withdraw consent at any time.
To exercise any of these — including deletion or export of your data — just ask. There are two ways, and either works:
- Email privacy@trueflowinaction.com, or
- Use our contact form and tell us what you’d like.
We’ll action erasure requests in both our email platform and our quiz store within 30 days, and we won’t charge you or make you jump through hoops. If you’re ever unhappy with how we’ve handled your data, you can also complain to the UK Information Commissioner’s Office (ICO) at ico.org.uk.
Cookies
We keep cookies to a minimum. Our analytics are cookieless. Any strictly necessary cookies exist only to make the site work (for example, remembering that you dismissed a notice). We don’t use advertising or cross-site tracking cookies.
Children
Trueflow is intended for adults. We don’t knowingly collect data from anyone under 16 (the UK age of digital consent).
Changes to this policy
If we change how we handle your data, we’ll update this page and its “last updated” date. We’ll tell you directly about any material change to how we use your email.
